Sharing Results & Emailing Reports

Sharing Results & Emailing Reports

You can share an athlete's results with players and parents in two ways: a private share link to their dashboard, or a results email. Share links and emailed reports are Premium features. Owners, admins and editors can create and revoke share links. Viewers can't.

Step 1 — Create a Share Link

On the athlete's profile, click Share. The Share Athlete Dashboard window opens.

  1. Choose when the link expires under Link expires after: 30 days, 90 days, 365 days or Never. The default is 365 days.
  2. Click Generate Share Link.
  3. Click Copy Link and send it to the family.

Anyone with the link can view the athlete's dashboard without a HockeyShare account. The window also shows Access Statistics: views, the last access, and the created and expiry dates.

What the Shared Page Shows

  • the athlete's name, birth year, classifications and your organization's logo
  • the Performance Reportcard and every metric with its chart and recent tests
  • the comparison against classification group averages
  • public notes (private notes are never shown)
  • the newest finished AI summary
  • View Leaderboard Rankings – the athlete's rank on matching saved leaderboards. Other athletes appear as a first name and last initial only.

Step 2 — Share Links for a Whole Group

To create links for many athletes at once:

  1. On the Perform athlete list, tick the athletes.
  2. Click Generate Share Links in the blue bar.

Athletes who already have a link are skipped. New links expire after 365 days. To turn links off, select athletes and click Revoke Share Links, then type REVOKE to confirm.

Step 3 — Allow Account Claiming (Optional)

Claiming lets a parent or player link the athlete's profile to their own free HockeyShare account. Once claimed, they can:

  • see the athlete under My Athletes
  • get an email when new results are posted
  • fill out Check-Ins

To set it for one athlete, open Share and change Allow claiming to On, Off or Inherit org default. Linked accounts are listed under Claimed by. Click Unlink, then Confirm unlink?, to remove one.

To set it for many athletes, select them on the athlete list and click Enable Claiming or Disable Claiming. Owners and admins can set the default for new athletes in the organization's settings under Athlete Account Claiming.

Step 4 — Add Email Addresses

Results emails go to the addresses saved on each athlete.

  • One athlete: on the profile, click Add Email in the Email Addresses card.
  • Many athletes: go to Athletes → Manage Athlete Emails, filter if you want, and click Load Athletes. Each athlete has 3 email slots. Fill them in and click Save Emails.

Step 5 — Send Results Emails

Go to Athletes → Send Emails, then click Send New Emails.

  1. Filter by classification if you want, then tick the athletes. Athletes with No email or No data can't be selected.
  2. Optional: add an Email Subject (the athlete's name is added automatically), a From Name and a personal message.
  3. Click Send Emails.

Each email shows the athlete's latest result for every metric, the change from the test before, and a link to their dashboard. If the athlete doesn't have a share link yet, one is created that expires after 365 days.

The Email Management page shows every email sent, with its status and open counts.

Good to Know

  • Revoking a link turns it off straight away. It also removes the athlete from the Saved Athletes of anyone who saved that link. Families who claimed the athlete keep access through My Athletes.
  • An expired or revoked link shows "This share link is invalid or has been revoked." To change a link's expiry, revoke it and generate a new one.
  • If your Premium subscription ends, shared pages show "This shared page is no longer available." Nothing is deleted, and the links work again when you renew.
  • You can send up to 10 email batches per hour. One batch covers every athlete you select.
  • An athlete can have up to 10 claimed accounts.

Tips

  • Generate share links for the whole team right after testing day, then use Send Emails so every family gets the results and the link together.
  • Turn on claiming if you use Check-Ins. Only families who claim the profile can fill them out.
  • Choose a 90-day expiry for tryout or camp athletes you won't coach for long.
